REFUND AND CANCELLATION POLICY

Thank you for choosing Sentinel Auditor, a compliance automation platform owned and operated by Elite Data Solution (the "Platform", "Company", "we", "us", or "our"). This Refund and Cancellation Policy governs all digital purchases, transactional one-time fees, and recurring annual enterprise subscriptions processed through our platform or our authorized third-party Merchants of Record (including but not limited to Paddle).

Because our platform provides commercial healthcare entities with immediate, automated data-parsing utilities and instant legal attestation deliverables, we enforce a strict stance on cancellations and refunds.


1. TRANSACTIONAL DIGITAL PRODUCTS & 14-DAY POLICY

We offer a 14-day refund policy for our products in accordance with standard international consumer protection regulations and our Merchant of Record buyer terms. You have the right to cancel your agreement and request a full refund within 14 days of your purchase without providing a reason.

However, because our platform provides instant digital delivery and intellectual reports that cannot be revoked once accessed, completing a transaction and accessing, viewing, or downloading the final deliverable constitutes explicit consumption and full delivery of the service. Once the service is fully consumed, the transaction becomes final and non-refundable.

This framework applies directly to the following transactional products based on their specific delivery models:

  • Sentinel Audit Report Pro ($249 / One-Time): Unlocks the deep structural breakdown, row-by-row violation logs, official CMS validation benchmarking, and the Step-by-Step Manual Remediation Blueprint.

    • Consumption Rule: This product is an intellectual report. Full delivery is completed, and the right to a refund is waived, the exact moment the report downloaded by the user.

  • Instant Remediation & Certification ($999/6999 / One-Time File Patch/Standard): Licenses the 1-Click Autonomous File Patching engine to inject missing metadata, recover payer rates via your Chargemaster, and output a CMS V3.0 ready JSON/CSV file alongside an official Compliance Validation Certificate.

    • Consumption Rule: Full delivery is completed, and the right to a refund is waived, the moment the patched compliance file is downloaded or actively deployed to public web hosting.


2. ANNUAL ENTERPRISE SUBSCRIPTIONS

For hospital networks and systems utilizing our continuous automation tier, the following subscription rules apply:

  • Enterprise Continuous Suite ($15,000 / Year): Covers full lifecycle automated compliance across all system files, autonomous quarterly audits, real-time rate fixes, and active cloud infrastructure provisions.

A. Cancellation Framework

You may cancel your Enterprise Continuous Suite subscription at any time. Cancellation requests must be executed directly through your organization's administrative billing portal or submitted formally via your designated Account Executive.

B. Structural Impact of Termination

Upon cancellation, your enterprise account will remain active until the conclusion of your current, pre-paid 12-month billing cycle. Once that cycle concludes, your subscription will not renew, and the following teardown actions occur immediately:

  • Your data assets hosted on our secure, low-latency 1-Click Secure CDN Hosting network will be permanently taken offline.

  • The automated cms-hpt.txt root-level integration configuration will be unmapped, removing your public URL path and rendering your files invisible to federal web-scrapers.

⚠️ Note: The Platform disclaims any liability for subsequent federal fine exposures or civil monetary penalties (CMPs) resulting from your public URL paths going dark due to subscription termination.

C. No Prorated Refunds

Outside of the initial 14-day pre-consumption window, we do not offer prorated or partial refunds for annual subscription terms cancelled mid-cycle. The pre-paid annual fee secures your dedicated CDN storage server containers and automated audit cycles for the entire 365-day block.


3. FREE TIER EXEMPTION

  • Sentinel Audit Report ($0 / Free): Since the initial 40+ point federal schema preview scan, pass/fail diagnostics, and high-level violation counts are processed entirely in secure, ephemeral server memory free of charge, this tier is completely excluded from any monetary or transactional evaluation frameworks.


4. SECURE PROCEDURAL EXCEPTIONS (TECHNICAL FAILURES)

The single operational exception to our policy constraints is a Verified Execution Failure:

  • If a user processes a standard file layout that matches our input configurations, but our backend processing engine experiences a critical unhandled system crash that completely prevents the generation of the downloadable asset, file patch, or blueprint report.

Recourse Timeline

The hospital's data or IT team must submit a technical support ticket within forty-eight (48) hours of the failed execution. Our engineering team will have seven (7) business days to debug the parsing conflict or manually generate and deliver the compliant asset. If our team remains unable to provide the structured file or report within this window, a full refund will be processed through our Merchant of Record.


5. P-CARD DISPUTES & FRAUDULENT CHARGEBACKS

Our transactional checkouts are intentionally optimized to process smoothly through standard corporate Purchasing Cards (P-Cards) to help departmental risk managers eliminate long procurement board cycles.

Filing an unauthorized chargeback or disputing a valid P-Card transaction after our processing engine has successfully executed, displayed, and delivered your compliance assets for download or viewing is a direct breach of our terms.

If a groundless dispute is filed, our legal operations team will automatically submit our localized execution logs, download timestamps, and cryptographic provenance signatures directly to your merchant bank to enforce collection. We also reserve the right to immediately pull down any active CDN hosting files and permanently blacklist your hospital's corporate EIN from our data verification engines.
